# ClickUp plans, free-tier constraints, and capability gating

ClickUp’s current public pricing page presents four purchasable plan levels: **Free Forever**, **Unlimited**, **Business**, and **Enterprise**. The published self-serve rates are $7 per user/month annually or $10 monthly for Unlimited, and $12 annually or $19 monthly for Business; Enterprise is custom-priced. The Free Forever plan permits unlimited tasks and unlimited members, so it can support a small team at first. In practice, its shared, non-resetting product limits make it a constrained collaboration workspace rather than a durable team operating system: only 60 MB of total Workspace storage, five Spaces, 40 Lists per Space, one Form, 60 Custom Field uses, 60 Dashboard uses, 1,000 lifetime Chat messages, 90-day Chat history, five active Automations, and 100 Automation Actions per month. For an alternative to avoid a degraded ClickUp workflow, it should at minimum combine a hierarchical task system with multiple operational views, configurable task metadata and status workflows, task dependencies/relationships, collaborative documents that connect to tasks, real-time comments and notifications, externally shareable content/forms, and role-aware sharing. A small team that currently relies on ClickUp’s paid functionality also needs uncapped or appropriately scaled storage, forms, dashboards, Chat history, and automation. Business—not merely a paid entry tier—is the important parity bar for advanced reporting, unlimited timeline/activity capability, integration/webhook automation, and controlled/private operational views. Enterprise requirements are distinct: SAML/SCIM, audit and session controls, advanced public-sharing governance, unlimited custom roles, data residency, and enterprise-scale API/automation capacity. > **Scope note:** “Unlimited” in a ClickUp plan name does not mean every dimension is unlimited. ClickUp documents hard performance ceilings, plan-specific quotas, and AI fair-use controls separately. Those limits matter more than seat count for a small, active team. [3] [5] [6] [7] [15]

## Plan structure and pricing

ClickUp automatically creates new accounts on Free Forever. A Workspace is upgraded as a whole: users cannot occupy different plans in the same Workspace. ClickUp’s Help Center continues to reference **Business Plus** in several feature matrices and describes it as the multiple-team tier with custom-role permissions and priority support, but Business Plus is not shown as a public purchase option in the current pricing table. It should therefore be treated as a plan variant documented by ClickUp—potentially relevant to existing Workspaces—not as a price point to assume is self-serve available without checking the billing interface or sales. The published dollar figures above are per user per month. Paying for some people while keeping others on Free within the same Workspace is not an available configuration. Owners, admins, members, limited members, and permission-controlled guests can generate subscription fees; view-only guests are free on paid plans. [1] [15]

## Free Forever: what a small multi-user team can do

A Free Forever Workspace provides **unlimited tasks and unlimited free-plan members**, plus Collaborative Docs, Kanban, Sprint Management, Calendar view, basic Custom Field management, in-app video recording, two-factor authentication, and one Form according to the current pricing page. Tasks themselves are not the limiting factor; ClickUp says unlimited tasks are available on every plan. Docs are available to everyone, including guests, and support pages/subpages, comments, permissions, public links, relationships to tasks, task creation from document text, and export to PDF, HTML, or Markdown. This means a small team can genuinely use Free Forever for basic work tracking and internal documentation. [1] [3] [8]

The operational issue is that the free allowance is **Workspace-wide**, not per person. Adding teammates does not add storage, dashboards, automation, Chat messages, or Forms. Free guests are unlimited and free, but they receive only full permissions for shared locations/items; they do not receive view-only, comment-only, or edit-without-delete permission choices. ClickUp states generally that feature-usage limits do **not** reset unless a feature document says otherwise. When a limit is reached, existing data is preserved, but the team cannot add or edit through that feature until it upgrades. This makes many Free Forever limits closer to one-time evaluation quotas than recurring capacity allowances. Automations are a notable exception: their Action quota resets monthly, and are paused for the month if exceeded. [2] [6]

## Paid gating: collaboration, project delivery, and wiki capabilities

The following table separates the capabilities that are merely capacity upgrades from those that are true **functional gates**. This distinction is important when assessing whether an alternative preserves the workflow, rather than only its data volume.

## Enterprise-only controls are not ordinary paid-team requirements

The Enterprise tier should be evaluated separately from Free-versus-paid feature parity. It bundles governance, compliance, identity, and large-scale controls rather than simply more task/project features. The current pricing page identifies Enterprise Permissions and Governance, unlimited custom roles, SAML SSO and SCIM provisioning, audit logs, session management, Enterprise API, custom branding, data residency, 250,000 Automation Actions/month, and enterprise-scale integrations/API use. The enterprise page also describes a 99.9% uptime guarantee, regional data residency in the US/EU/APAC, and dedicated onboarding/customer-success services. [1] [14]

## Small-team interpretation: what to match first

A small multi-user team does not normally need Enterprise controls to preserve day-to-day work. It does need to identify which ClickUp behavior is already embedded in its routines. The following requirements are therefore organized by the level at which their absence would visibly degrade normal collaboration.

### Baseline parity: avoid a downgrade from basic ClickUp collaboration

An alternative should provide a shared workspace with unlimited or realistically high task capacity; hierarchical project organization; task fields, statuses, assignees, dates, priorities, checklists, dependencies, and relationships; List/table, Kanban/board, and calendar views; task comments and notifications; task-level privacy/sharing; and broad role access for core users. It should also provide real-time collaborative documents with pages/subpages, comments, link sharing, version history, export, and the ability to turn document content into or connect it to tasks. ClickUp makes those task and Doc foundations available on every plan, so omitting them would be a functional loss even for a free-tier migration. [3] [5] [8]

A second baseline requirement is controlled external collaboration. ClickUp’s Free plan offers unlimited free guests but forces full permissions, whereas paid ClickUp provides unlimited view-only guests and permission-controlled guests. Any alternative being considered for client, contractor, or cross-team work should reproduce least-privilege guest access—not simply offer invitations. [10] [15]

### Paid small-team parity: avoid a downgrade from an active Unlimited or Business Workspace

For an active team, match **unlimited or fit-for-purpose file storage**, multiple forms with external sharing/embedding, persistent Chat or an equivalent integrated communication/audit trail, unbounded custom fields and task types, multiple project views, task reuse across multiple projects, and automation with quotas that cover actual volume. If the present ClickUp Workspace is Business, parity must additionally cover advanced dashboards/reporting, unlimited practical use of Timeline/Activity/Workload views, private views, custom exports, and event/webhook/integration automation. A substitute that offers tasks and Docs but lacks these planning, reporting, and automation functions would preserve a simple task list while degrading the team’s operating cadence. [1] [5] [6] [12]

### Wiki and knowledge-base parity

ClickUp’s Docs are broader than a standalone wiki because they are collaborative, permissioned, connected to tasks, and can be publicly shared. Its wiki label is a “source of truth” designation for a Doc; it supports real-time collaboration, comments that can become tasks, task creation from the wiki, and Brain AI prioritization. The alternative should therefore match both **knowledge structure** and **work execution linkage**. Protecting Docs/pages is a Business Plus-and-up control, and unlimited formally designated wikis are documented at Business Plus. [8] [9]

## Fair use, hard limits, and evaluation cautions

### AI is not an unlimited guarantee

ClickUp’s Brain AI documentation says all Brain features are subject to its fair-use policy, restrictions may change, and usage limits may change as ClickUp assesses usage and cost. The AI terms give ClickUp discretion to determine fair usage; if usage exceeds that determination, ClickUp may require additional rights or disable/degrade AI performance. Even ClickUp’s paid AI packages should therefore be assessed as a metered or policy-bounded service rather than a deterministic unlimited capability. [16] [19]

The published AI trial is shared at Workspace level, not a recurring individual entitlement. Free Forever receives 25 Brain uses for up to 10 people or 50 for more than 10 people, plus 500 Super Credits; neither resets. Paid Workspaces without an AI add-on receive a non-resetting 1,000 trial credits per user. This is relevant only if the team relies on AI, but it is important not to include AI in a required workflow without separately confirming recurring entitlement, price, and volume. [16]

### Product limits that remain after upgrade

Some ceilings are product-performance limits rather than subscription gates. A List can hold up to 100,000 tasks, including subtasks, archived items, and items appearing in multiple Lists; individual task descriptions are limited to 256 KB; a task has up to 1,000 subtasks; and List view loads up to 5,000 tasks at one time. Dashboards cap at 100 cards and 500 card rows. Forms allow 500 responses per hour per IP address and 25 MB per uploaded file. These are unlikely to constrain most small teams, but they matter when testing high-volume imports, intake workflows, or large operational dashboards. [3] [5] [9] [12]

### Source and plan-structure caveat

ClickUp’s current pricing page and Help Center do not present a fully identical plan taxonomy. The public comparison lists Free Forever, Unlimited, Business, and Enterprise; Help Center feature tables also enumerate Business Plus. Additionally, the wiki article explicitly gives Free Forever and Business one wiki and Business Plus unlimited wikis, while the pricing comparison displays one Wiki for Free, Unlimited, and Business but does not render a clear Enterprise quantity in the extracted comparison. The report records those first-party statements rather than inferring missing entitlements. Before making a purchase or migration decision based on Business Plus or Enterprise wiki capacity, confirm the applicable Workspace’s billing page or ClickUp sales documentation. [1] [2] [9]

## Conclusion

ClickUp Free Forever is generous on seats and basic work objects, but it is not equivalent to an unrestricted small-team collaboration environment. The high-impact gaps are shared storage, intake Forms, structured task metadata, project/planning views, dashboard access, automations, Chat retention/volume, and permission granularity for external collaborators. **Unlimited** is ClickUp’s small-team capacity unlock; **Business** is the meaningful operational-workflow unlock; **Enterprise** is the governance and scale layer. An alternative should be judged against the ClickUp tier actually in use. At a minimum, it must retain the task–document–comment–share linkage and role-aware collaboration. For a paid operational workflow, it should also retain reporting, automation, flexible views, configurable metadata, and external intake. Only a team that relies on central governance, identity lifecycle, auditability, regulated-data controls, or policy-managed public sharing needs Enterprise-equivalent controls.
