# ClickUp workspace capabilities baseline

## Executive assessment

**Verified product fact.** ClickUp presents a broad, integrated workspace that combines hierarchical task management, collaborative Docs and wikis, structured task metadata, multiple planning and reporting views, automation, role-aware sharing, integrations, mobile access, workspace search, and optional AI. The core user model is a hierarchy of Spaces, optional Folders/Subfolders, Lists, and tasks; Docs, Whiteboards, Dashboards, and many views attach to locations in or alongside that hierarchy. **Decision inference.** A credible alternative should be judged against ClickUp as a connected work system, not as a Kanban board alone. The practical baseline is the linkage among task records, rich documentation, permissions, multi-view planning, task relationships, reports, and search. Whether an alternative needs every ClickUp surface depends on the team’s current tier and habits, because ClickUp’s Free, Unlimited, Business, Business Plus, and Enterprise matrices gate some important functions and usage volumes. This inference synthesizes the verified capability evidence below; it is not a product claim by ClickUp.

## Scope, sources, and terminology

This report uses current official ClickUp pages as its primary sources. It verifies the baseline across the pricing page plus Help Center pages for hierarchy, tasks, Docs, text formatting, tables, views, Custom Fields, relationships, automations, reporting, permissions, mobile, search, and AI. It cites more than four independent authoritative URLs throughout. URLs and document titles appear in the References section.

ClickUp uses **uses** in many feature matrices. A use is an action counted against a plan-specific allowance, not necessarily a recurring monthly quota. The documentation explicitly says Automation *Actions* reset monthly, while several other feature pages say their recorded uses do not reset. Read each feature’s own limits page before relying on a quota. [4] [5] [6]

## Information architecture and work items

### Hierarchy

### Tasks and issues

**Verified.** A ClickUp task is a generic actionable work item. Official examples include projects, software bugs, client deliverables, invoices, and recurring meetings, so the same object can model general tasks and issue-tracking records. Tasks provide unique task IDs, optional custom task types, statuses, assignees or Teams, priorities, start/due dates, durations, descriptions, Custom Fields, subtasks and nested subtasks, checklists, attachments, assigned comments, activity history, followers, recurring behavior, and share controls. **Verified.** A task’s relationship area can surface dependencies, linked tasks, linked Docs, references, and custom relationships. Tasks can be found through hierarchy navigation, task views, filters, and the AI Command Bar. Comments and task activity form an in-task history; tasks may be shared directly, by invitation, or by a public/private link subject to sharing controls. [8] [9] [10]

**Inference.** ClickUp is suitable as an issue-tracking baseline when “issue” means a configurable task type plus fields, statuses, relationships, and views. The cited materials do not establish that every organization receives a preconfigured software-issue schema, so parity should be tested on configuration depth rather than assumed from the word “task.”

## Docs, wikis, rich editing, tables, and embeds

### Markdown and rich-text behavior

**Verified.** Text formatting is available wherever ClickUp permits text, including tasks, subtasks, Docs, Chat, Whiteboards, columns, text Dashboard cards, and Notepad. The editor offers a text toolbar, slash commands, keyboard shortcuts, content blocks, headings, code blocks, tables, dividers, buttons, banners, toggle lists, colored backgrounds, and columns. [12]

**Verified.** ClickUp converts Markdown shortcuts to rich text and supports traditional plus custom shortcuts. It supports a Markdown slash command for inserted Markdown, imports Markdown into Docs, and exports Docs to Markdown. Those facts establish Markdown interoperability and Markdown-to-rich-text entry behavior, but they do **not** by themselves prove a plain-text/Markdown-first storage model. [12] [2] [11]

**Inference.** For alternatives evaluation, distinguish “Markdown-compatible rich editing” from “Markdown-native documents.” ClickUp’s documented product experience is a rich editor that accepts/exports Markdown, with further layout and embed features beyond plain Markdown.

## Structured metadata: Custom Fields

**Verified.** Custom Fields add structured context to tasks and support reporting. They may be placed at the Workspace, Space, Folder, Subfolder, or List level; one field can be reused in multiple locations. A Space-level field flows to every Folder, Subfolder, List, task, and subtask within that Space. ClickUp also documents task-type Custom Fields, relationship fields/rollups, formula fields, field permissions, required/default values, and search/sort/filter on Custom Fields. [15]

**Verified.** ClickUp documents standard field types such as text, number, phone, email, URL, date, dropdown, label, checkbox, money, location, formula, relationship, and AI-assisted fields. The cited overview gives concrete examples of Phone, Formula, Dropdown, and Location fields, and specifies that selected Custom Field types are searchable by Brain. [15]

**Inference.** An alternative needs first-class structured metadata, not only free-form labels, to match a ClickUp workspace that uses Custom Fields as an operational data model. This follows from ClickUp’s location inheritance, task-type behavior, formulas/relationships, filterability, and reporting linkage.

## Views, planning surfaces, and visualization

### General view model

**Verified.** ClickUp uses a Views Bar on each Space, Folder, Subfolder, or List. New locations receive List and Board by default. Views can be added, pinned, favorited, grouped, reordered, marked as a default, required, protected, or made private subject to plan and role. [3] [4]

### Roadmaps, goals, and portfolio-style work

**Verified.** ClickUp’s product/engineering roadmap guidance tells users to organize work in dedicated Project, Roadmap, or Backlog **Lists**. It proposes tasks/subtasks, task links/relationships/dependencies, custom task types such as Milestones, tasks in multiple Lists, and Sprints for reporting and cross-list visibility. [17]

**Verified.** A Goal is a high-level objective made from measurable Targets. Target types are Number, True/False, Currency, and Task (a task, subtask, or entire List); ClickUp automatically updates a Goal’s percentage as Targets change. Goals are available on all plans, with 100 uses on Free and unlimited access from Unlimited upward. Goal Folders are available on Business and above. Goals can appear in Dashboard cards. [18]

**Verified.** ClickUp’s pricing page lists **Goals & Portfolio Management** and resource management on Unlimited. The Help Center separately documents a Portfolio Dashboard card that categorizes and tracks progress of Lists or Folders, and its cards page describes that card as unavailable on Free but available from Unlimited upward. **Inference.** ClickUp roadmapping is best treated as a configured workflow across Lists, task hierarchy/relationships, Timeline/Gantt, and reporting rather than presumed to be a single immutable roadmap object. The cited official guidance names “Roadmap List” and task/view building blocks; this report does not assert an undocumented standalone roadmap entity.

## Relationships and dependencies

**Verified.** ClickUp separates general relationships from dependency relationships. General task relationships can include linked tasks, linked Docs, references, custom relationships, and relationship tabs/columns that expose details from related work. [9]

**Verified.** Dependency relationships express **Blocks** and **Blocked by / waiting on** connections. They are available on all plans; guests with edit or full permission may create them. Dependencies may be created from tasks, views, and Automations. ClickUp can issue dependency notifications and, when automatic scheduling is enabled, move dependent start/due dates after a predecessor moves. [10]

**Verified.** The task relationship matrix supports connections between tasks and Docs as well as task dependencies. Relationship columns/rollups can surface field data from connected tasks. [9] [10]

**Inference.** This is stronger than a simple parent/subtask tree. Any comparison should test both non-blocking traceability links and schedule-affecting predecessor relationships, because the two have distinct ClickUp behavior.

## Automations

**Verified.** Automations are available on every plan after an owner or admin enables the Automations ClickApp. A user needs edit/full-edit access to a location to create automations there; view-only/comment users and most guest categories cannot create them. [20]

**Verified.** An Automation permits one trigger, up to 15 optional conditions (available from Business), and up to six actions. Actions reset monthly; when the Workspace exceeds its monthly Action limit, ClickUp pauses automations for that month. Automation usage history retention is one day on Free/Unlimited/Business, 30 days on Business Plus, and six months on Enterprise. [20]

**Inference.** Basic internal workflow automation is part of the baseline on Free, but integration-triggered automation and meaningful conditional complexity are Business-and-up behavior. A comparison should measure recurring automation volume and external event needs rather than only count available templates.

## Collaboration, permissions, and sharing

**Verified.** ClickUp’s common item-level permissions are **Full edit**, **Edit**, **Comment**, and **View only**. Full edit grants creation, editing, sharing, and deletion; Edit permits changes and sharing but not deletion; Comment permits comments; View only is read-only. Members receive full-edit access to public locations by default, while guests and limited members can receive access to specific locations/items. [21]

**Verified.** Spaces, Folders, Subfolders, Lists, tasks, Docs, views, Goals, and Dashboards have sharing/permission behavior described in official documentation. Locations and tasks can be public or private and shared inside or outside the Workspace; task permissions can be set directly or inherited from their List, Subfolder, Folder, or Space. Teams can receive shared Spaces only on Enterprise, while team sharing of lower-level locations/tasks is Business Plus or Enterprise. [21] [22] [16]

**Verified.** Docs provide comments, mentions, owners/contributors, history, task creation, and public/private sharing. Tasks provide comments/activity, followers, assignments, task sharing, and mentions. Whiteboards are explicitly collaborative work areas; Chat appears as both an integrated product feature and a Chat view. [2] [8] [3]

**Inference.** An alternative that only supports workspace-wide roles but no item/location-level permissions would not reproduce ClickUp’s documented collaboration model. External-collaboration parity should be tested separately from employee/member access.

## Reporting and dashboards

**Verified.** Dashboards enable users to visualize, measure, and collaboratively report on work. Official documentation lists Dashboard cards and use cases spanning task tracking, team collaboration, time tracking, project management, client collaboration, sprint planning, Goals, and targets. Dashboard permissions restrict guest access to shared dashboards and to the underlying task/location data that cards reference. [3] [16]

**Inference.** A dashboard may be a functional requirement rather than a cosmetic display if a team uses ClickUp to aggregate Lists/Folders, Goals, workload, sprints, or time. Compare reporting data coverage, drilldown, scheduled delivery, and permission trimming, not just chart variety.

## Templates

**Verified.** Templates are available on all plans. A user can create templates for Spaces, Folders, Subfolders, Lists, tasks, Docs, views, checklists, and Whiteboards, then add descriptions, tags, sharing options, project dates, and archived tasks. Templates may be found in the Template Center, which includes ClickUp and community templates. [23] [24]

**Verified.** Guests can access only Docs, task, view, checklist, and Whiteboard templates. Guests with edit/full permission can create templates. Users can apply a template only when they have access to private items included in it. [23]

## Integrations and app connections

**Verified.** ClickUp’s App Center is available on all plans. It centralizes app connections, Connected Search enablement, and ClickApps. Guests may view the App Center, while owners, admins, and members connect apps; Enterprise may expose a role-controlled Personal Integrations permission as it rolls out. [25]

**Verified.** ClickUp documents two connection modes. A **personal connection** exposes connected-app material only to the user who connected it. A **Workspace connection** enables workspace-wide search of eligible indexed material, with source-application visibility and selected locations governing what results can be surfaced. The supported Connected Search app lists include examples such as Google Drive, Gmail, Slack, GitHub, Jira, Confluence, Notion, Microsoft Teams, Box, Dropbox, SharePoint, OneDrive, Outlook, and Salesforce. **Verified.** ClickUp’s public feature page claims connections to more than 1,000 tools, naming Google Workspace, Microsoft Office, Slack, Zoom, and GitHub through native integrations and Zapier. The current pricing page lists unlimited integrations on Unlimited. Marketing breadth is not equivalent to confirming that every named integration supports identical sync, search, security, or automation behavior. [27] [6]

**Inference.** Assess native connection behavior individually. The product evidence supports a broad integration ecosystem and personal/workspace search modes, but not a blanket conclusion that each integration provides bidirectional sync, write actions, or exactly the same permission model.

## Search and ClickUp Brain AI

### Workspace and connected search

**Verified.** Workspace Search is available to all plans and users, including guests, but returns only items they have permission to access. It searches tasks, messages, Docs, and more through the AI Command Bar or context-specific view search. Task keyword search indexes task names, descriptions, and Custom Fields. [28]

**Verified.** Connected Search is available on all plans as a limited-time trial, with future restrictions noted by ClickUp. Personal connections surface only the connector’s accessible files to that user. Workspace connections allow members to search connected material under ClickUp’s documented integration-specific and connection-level controls; guests cannot use Connected Search. ClickUp says its indexed asset set includes native tasks, Docs, Whiteboards, Dashboards, Chat, hierarchy locations, and attachments, alongside supported third-party objects. [26]

> **Security-relevant verified caveat:** For Workspace Connected Search, ClickUp says content visibility depends on the connection and its controls. The documentation advises using shared, company-wide locations and says a connecting account’s accessible content may be indexed, subject to connection/source-specific filters. Test permission and indexing behavior using real source controls before enabling this for sensitive systems. [26]

### Brain AI

**Verified.** ClickUp describes Brain as a context-aware AI coworker available throughout the Workspace. In Docs it can find, write, edit, create, and summarize Docs; in task and text contexts it can improve writing, create tasks, and help manage tasks. User access remains constrained by the locations/items they may access. [29] [2] [12]

**Inference.** Treat AI as an optional, metered or policy-bounded layer rather than a durable “unlimited” baseline. Core task/Docs/workspace capabilities should be compared independently of AI trial allowances.

## Mobile capability baseline

**Verified.** The ClickUp mobile app is available on every plan to all user roles, including guests, on iOS and Android. Mobile provides Home, Inbox, hierarchy navigation, tasks, search, Brain, My Tasks, Chat, SyncUps, a Personal List, widgets, and access to Docs/Clips/Brain from the More menu. [30]

**Verified.** ClickUp lists several present mobile gaps: Whiteboards and Gantt are unavailable; mobile can view Dashboards but cannot create/edit them; Templates, Goals, billing/account settings, creating/adding new Custom Fields, guest invitations, Timesheets, and Timesheet approvals are unavailable. Users may view and update many existing Custom Fields. [30]

**Verified.** Mobile supports List, Board, Calendar, Doc, and Table views. That coverage does not prove that each desktop configuration or interaction is available on mobile. [30]

**Inference.** Mobile offers action and review coverage but is not feature-complete desktop parity. A comparison should define whether the team needs mobile task execution only or mobile administration, planning, documentation design, and reporting management.
